This Privacy Policy (the “Policy”) explains how DentalHQ, LLC (“DentalHQ,” “us,” “our,” or “we”) collects, uses, and discloses personal information that we collect from (i) users of our website, https://dentalhq.com and any other websites and online services that we operate and that include a link to this Policy (collectively, the “Websites”); and (ii) authorized users of businesses or individuals that have contracted with us (our “Customers”) to use our web-based software platform (the “Platform”). Collectively, the Websites and the Platform are referred to throughout this Policy as the “Services.”
The products and services that we provide to our Customers, including the Platform, may cause us to receive, collect, use, disclose, or otherwise process personal information relating to you and other individuals on behalf of and at the direction of those Customers, such as information that is considered protected health information under the Health Insurance Portability and Accountability Act (“HIPAA”). That information is not subject to this Policy. Instead, we process that information at the direction of, and pursuant to our agreements with, those Customers. If you have further questions about the handling of personal information or protected health information that our Customers process using our Services, please contact the relevant Customer directly.
Information We Collect About You
When you use or access our Services, we may collect personal information directly from you that you choose to provide, such as the following:
- Contact and demographic information, such as your name, mailing address, email address, phone number, and date of birth.
- Platform login information such as username and password.
- Business information, such as your job title and the name of your employer or organization.
- Any other information you submit when you contact us, including any information you provide in a submission through our “Contact Us” form or other contact methods.
We may also collect certain other personal information automatically when you visit the Website or use the Services, such as the following:
Communication Information: If you use the online chat functionality that we make available through the Services, we and third parties that provide that functionality will collect and record the contents of your communications through that functionality.
Browser and Device Information: When you use the Services, we will collect certain information that is automatically collected by most websites, such as information about your device and your browser. For example, we may receive device identifiers such as IP address and MAC address, operating system type and version, and Internet browser type and version.
Search Engine and Other Referrals: When a third party refers you to our Services, such as through your clicking on a link to our page from a Google search, we may receive some information about your device and your interaction with the referring site or content.

Information Collected in Connection with Analytics Technology: We may use various technologies to learn more about how visitors use the Services, such as Google Analytics. Google Analytics uses cookies to help us analyze how visitors use the Services. The information generated by the cookies about your use of the Services includes your IP address. If you so choose, you may be able to opt out by turning off cookies in the preferences settings in your browser. - To enforce our policies, terms of use, contracts, or other legal rights.

Your Choices
We respect your privacy and offer choices regarding our collection and use of your personal information.
- You may choose not to provide the personal information we request. However, not providing information we request may restrict your ability to use certain features of the Services. For example, we will not be able to respond to your request for a free demo if you do not provide information with which we may use to contact you.
- You may be able to restrict the collection of personal information or functionality through your device’s operating system or by disabling cookies, but doing so may prevent you from using the functionality of the Services.
- You may modify or remove any of the information contained in your account profile at any time by logging into your account and accessing features such as Edit Profile and Account Settings. If you do not have that capacity because someone enrolled in the Services on your behalf, you must contact the account owner to request modifications to your account information.
- Some Internet browsers have a “do-not-track” feature that lets you tell websites that you do not want to have your online activities tracked. At this time, the Website does not respond to browser “do-not-track” signals. Other parties may collect personal information about your online activities over time and across different websites, applications, and other online products or services when you use the Website.
- If you no longer wish to receive promotional messages or updates, you may choose not to by opting out. To opt-out, click on “unsubscribe” from the email. Note that users who have opted-out of promotional messages may still receive email messages from DentalHQ where necessary to provide a Service you have requested or where necessary to inform you of critical information relating to your use of the Services.
Third-party Links
The Services may include links to websites, applications, information, and services provided by third parties. We are not responsible for the privacy policies or practices of those third parties. We encourage you to review the applicable privacy policies of such third parties if you elect to follow the links provided.
Children’s Privacy
The Services are oriented toward a general audience and intended for adults only. We do not knowingly collect personal information from those under the age of thirteen. If you believe that we have inadvertently collected personally identifiable information from a person under thirteen, please contact us so that we can investigate and take any necessary remedial measures.
Changes to this Policy
We may update this Policy to reflect changes in our privacy practices at any time and without prior notice to you. When we do so, we will update the effective date above. We encourage you to periodically review this Policy for the latest information on our privacy practices.
